Landlord approval may be required for those that rent their residence. If the resident indicates that they rent their home, the system will send an email to the landlord asking for landlord approval. Until the landlord approves the permit for the tenant, the permit will appear in the system like this:


As an administrator, you will have the ability to override the landlord’s approval. If you select the status action button on the left or the “pending landlord approval” button the system will ask if you wish to override the landlord’s approval. 



By selecting OK, the permit will look similar to the rest of the permits listed in the browse permits section.

There is also an indicator right under the name of the resident labeled “Renter”. This indicator highlights what residents are tenants/renters while looking at the browse permits page at a quick glance.


Landlord Side

On the Landlord’s side of the equation, they will receive an email telling them that their tenant at a certain address is applying for a burn permit. They will be presented with a link, Complete Process, where they will be redirected to the BurnPermits.com website. From the website, they will be asked to sign electronically OR upload either a photo of the signature or a copy of a signed release form.

Additionally, they will have access to the downloadable permit and will be asked to select that they agree to allow a permit to be issued under the terms and conditions listed.  

Once the landlord submits the approval, an email is sent to the tenant with the next steps in the application process.




Landlord’s with No Internet Access

If the landlord does not have access to the internet, there is the option for them to still approve/reject their tenant’s burn permit in person. Built into the Browse Permits page on the web-based control panel is the  tab attached to the name of the tenant.

By selecting the  button it will display the Landlord Options pop-up:



  1. Copy Landlord Link – by selecting this, it will bring up the tenant’s burn permit for the landlord to look over the terms and conditions. 
  2. View Landlord PDF – by selecting this button, the system will provide a copy of the Landlord’s Terms and Conditions, which Staff can print out and have the Landlord Sign; should the Landlord wish to either have a paper copy OR if they prefer not to use the electronic signature method at the front desk.
    1. The Landlord Terms and Conditions are found in the Basic Settings Page and are easily editable.
  3. Submit Landlord Approval – by selecting this button the pop-up will expand to provide the terms and conditions for the Landlord along with an I agree statement for the Landlord to agree to. With the I agree statement is the View Permit button where the Landlord can quickly refer to the tenant’s permit.
  4. There are two options for registering the approval:
    1. Landlord Electronic Signature – by selecting this option the pop-up will expand again to include a signature pad, where the Landlord will be able to electronically sign their name.
      1. Once they have signed, select  and the system will add their Signature to the Landlord’s terms and conditions. From that point, the Landlord’s terms and conditions and signature will be added to the tenant’s permit. Both permits will be accessible to Staff by selecting the Permit Identifier in the Browse Permits Page.
    2. Upload File – by selecting this option the system will provide the Choose File where you can add a file from your computer. So, if the Landlord signed pen to paper rather than electronically, staff will be able to scan the Landlord’s copy and upload it to the system. Once the file is uploaded, select  and the Landlord’s terms and conditions and signature will be added to the tenant’s permit.

Re-Send Landlord/Tenant Emails 

In the event that a landlord or tenant did not receive the email to conclude the application process, the admin staff will be able to re-send the "Complete Process" email. By selecting the Renter button under the Renter button under the applicant's name it will bring up the Landlord Options pop-up with a new Resend Landlord Email button: 


After selecting the Resend Landlord Email button, another pop-up will emerge with the recipient's email addresses (the system will send emails to both the Landlord and the tenant). Select Send to finish the process:
