In the
Manage Permit Templates section, you can add and edit Permit templates, which
will indicate what the resident interacts with. For example, the validity
dates, costs of permits and the approval methods.
Creating
a Permit Template:
To create a
new permit template, select the Create Template button. It will take you to a
new window where you can create the new permit template.
There are
multiple options to modify to suit the needs of your department/municipality.
- Display Name – Name the template so
it can be easily distinguished for record purposes.
- Permit
Type – this is where you can assign the template to the permit type. You could
have multiple templates under one type. For example, if the permit type was
Open Air Burning Permit you could have the following templates: Burn Barrel,
Agricultural, Camp Fire, etc.
- Expiry Date – here you can set the expiry date. There
are two options for setting the expiry date – (I) After Period; (II) On Date.
- After Period:
- If
setting the permit to expire After a certain period of time (i.e., 7 days, 1
month, etc.) it will automatically initiate certain features. By selecting this
setting along with a manual approval, as soon as that permit is approved, the date of approval will become the ‘Valid From’ date and the expiry date will
automatically adjust accordingly. So if someone applies for a permit that expires in 2 weeks
but the permit is not approved until 7 days after the application. As soon as
the permit is approved, the valid from date becomes the date that the approval
was granted. Therefore, the resident does not lose that time period.
- Selecting
the After Period will initiate the Variable Pricing Feature. For the
Variable Pricing Feature, you can set it up so the first two permits sold
during the year are a certain price and any permit after that is another price.

- On Date (see Diagram 2 below):
- The On Date criteria is meant for
permits that expire on a specific date. Once you select the On Date option
enter the date you wish to have the permit expire and a drop down will appear
for the Valid Date. Within are two options:
- Year
Round – select this if the permit is set to expire on December 31 of that year
- (Valid)
On Date – select this and enter the date that the permit is Valid from – this will
typically be used in situations where there are permits for Fire Seasons
(periods of time: i.e., April 1 – October 1).
- It will be important for your records that on or around the expiry date that you create a new template with the appropriate Identifier.
- Approval - setting whether the permit will be Automatically or Manually Approved.
- Automatic Approval = By setting auto
approval, the permit will be accessible to the applicant in the form of a PDF
document as soon as they complete the application process.
- Additionally, if a permit is
automatically approved and you are charging for permits. The applicant will
still have access to the PDF permit, however, the permit will have an UNPAID watermark across it. This will indicate to the
applicant that the permit is not yet valid.
- Manual Approval = the permit will not be valid and the website
will tell the applicant that their application has been submitted for review.
- Manual – Accept Payment = By setting
manual – accept payment, the system will act in the same manner as it does for
basic manual approval however, this approval type allows the user to
pay for their permit on the public site before it is approved.
- Manual – Site Inspection Required = By setting manual – site inspection
required, the system will again act in the same manner as it does for basic
manual approval. However, it will trigger the system to show in the browse
permits that there is a site inspection required:
- Moreover, when the applicant selects
‘My Permits’ on the website their permit will be accessible in PDF form. Again
however, there will be a watermark saying PENDING, which will indicate that the permit is
not valid.
- **When a permit is indicated via
watermark to not be valid, the automated phone system will not allow them to activate their permit/register their burn**
- Price - setting a price will notify
the website to present the PayPal Checkout at the end of the application.
- Variable Pricing can also be set in
this location where the system will automatically prompt the user according to
the settings.
- Identifier – this will be for your
record keeping
- It is recommended that you create new
templates every year on or around December 31 to ensure good record keeping.
- General guidelines for creating
identifiers:
- Keep
them short
- Distinguishable
- Up-to-date
- Example: If your Permit type is Open Air Burning – the Permit Template could be OAB-2019
Editing a
Permit Template:
To edit a
permit template, select the Blue Pencil attached to the specific permit type
you wish to edit.
Once you
select this, it will take you to the permit template page with the same fields
as described in the Creating Permit Templates.
The only
things that cannot be changed in this section is the Display Name and the
Identifier.
