The record of personnel on duty can be seen either as a Table (Figure 1) or as a Calendar View (Figure 2). In either view, you will be able to see when members are on duty and available to respond, perhaps quicker than other members.
In the Calendar View, in order to see the specific time that a member is on duty for and their the type of duty (should you wish to distinguish that), just click on the name of the user and a pop-up will appear, showing the specifics of their on duty entry:
Members have the ability to delete their on duty entries via the Who’s Responding App. In the event that a member is no longer able to take the on duty shift or switches it with another member, then admin staff/officers will have the ability to delete the entry from the Control Panel. However, once can only delete an entry if the entry has not either already taken place or if it is in the midst of happening.
To delete an entry from the Table View, Search the user and select the trash can associated with that entry:
The system will ask if you are sure you wish to delete the entry. Select OK to confirm the termination.
If you would like to delete multiple entries, select the dates you would like to delete for that particular user and select Delete Selected down at the bottom of the page:
Again, the system will ask you to confirm the termination. Select OK.
To delete an entry from the Calendar View, select the entry you would like to
delete and select the Delete Date button:
The system will ask for confirmation of termination. Select OK.
Not only will you see who is On Duty on your TV View on your Smart TV, but you will also be able to see who is currently On Duty in the On Duty page:
Next to the names of your personnel are dots. Unlike the Unavailability page, the dot that is green signifies that the individual is currently on duty, while the grey dot is signifies that they are not on duty. Do not confuse this with lack of availability. If the person has a grey dot next to their name in the On Duty section, it DOES NOT mean that they are unavailable to respond.
This information can be provided in either the Table or Calendar View.
Additionally, you can also search for a particular user’s entry:
The search bar feature is only available for the Table View.
Right now, the Who’s Responding App does not allow for mass On Duty entries (this will be changed in the new update). However, Admins will be able to manually enter mass entries through the On Duty page.
To add On Duty entries for a single date or multiple dates, select the member that the dates are for and select +Add On Duty:
A pop-up will appear where you can enter the date range, the days of the week the member will be On Duty, the times during the day and the Duty Type. For example, someone could be on station duties from 8:00am to 2:00pm Mondays and Wednesdays for the first week of June:
Then select Save. This will create multiple entries for the days and times for the date range that you selected.
To create Duty Types, add the name of the Duty Type and assign a colour. Once you have added all the Duty Types you need, select Save:
Note: when colours are assigned, the member’s name will
appear in the Calendar View as that colour.
