The Responder Limits section is meant for those department/agencies that wish to dispatch their personnel based on job title or specialties. This would be the case for Career departments issuing a Limited Callback or a Police Service dispatching a Critical Incident Unit involving multiple different specialty officers.
If an agency has
an incident that only requires a limited response, for example a 5-person
callback, the system will provision for only allowing 5 responders to claim
that callback/shift, etc. It is meant as a tool to help save unnecessary costs
for agencies.
To enable a
Responder Limit like the 5-person callback, 3 steps are required:
- Create Responder
Groups
- Created Canned
Messages to associate triggers
- Create Triggers
that place limits on calls
Creating Responder Groups
Responder groups
can be created based on job title or specialty (i.e., high angle rescue,
explosive disposal unit, etc.)
The idea is to
associate users with groups in order for the limit to initiate each time a user
selects the responding button.
To create a responder group, select +Add
Responder Group:
A new field will pop-up on the screen. From
here you can give the group a name (i.e., Firefighter, drone team, etc.). Then
in the box to the right of the name, add the associated job titles by clicking
on the field and selecting the job title(s) or specialty/specialties from the
dropdown.
It is important to assign all job titles or
specialties (depending on how your groups are setup) to a group(s). The reason
being, if there is an unassociated title or specialty and a user has that
title/specialty associated to their account, when they select responding in the
App, the limits will not take effect for that person. In essence, that one
person will not go towards the count (i.e., 1 of 5 firefighters responding).
They will be a “free-floater” within the system.
The system will show you any unassociated
titles/specialties:
When all groups are created and have their
job titles or specialties assigned, select Save Responder Groups.
Each group will have a Yellow People button
to the right. By selecting this button, you will be able to see all users
associated to that group:
To delete a responder group, select the Red
Garbage Can just under the yellow people button.
To move/re-order the groups use the up and
down arrows to the left of the responder group name.
Modifying the order of these groups changes
which group accepts a job title first, before trying the next available group.
For example, if we had two responder
groups. One being Firefighters and the other being Officers. During a callout,
if there was a call that required 4 firefighters and 1 officer and the ordering
was firefighter first then officer. It would fill the firefighter positions
first then the officer position. So, say a Captain wanted to fill the officer
position of the callout and selected responding, it would likely throw this
Captain into the firefighter slot because we are allowing Captains to be
accepted to the firefighter responder group. So we would likely want to
re-order the responder groups so Officers is the first to be filled.
Creating Canned Messages to Associate
Responder Limits
To create a Canned Message that will
initiate the responder limit, you must put square brackets around the text:
This will link up with the triggers.
Creating Triggers
To create a Trigger, both the Responder
Groups and the Canned Messages must be in place. If both are set, select the
+Add Trigger button:
The system will take you to the triggers page where you will be able to create
the trigger, which sets up the limits for responders.
- Trigger text –
assigning the name of the trigger.
- IMPORTANT: the
trigger name MUST match the associated canned message identically in order to
associate the limit.
- Reason text - you
can edit the Reason Text, which is the pop-up that users will see if they are
the 6th user to select responding on a 5-person callback.
- Then you can associate how many users of each responder group can be associated to this trigger. So, using the example of the 5-person callback we would set the limit to 1 officer and 4 firefighters. In this example, once an officer selected responding, that position is now filled. If another officer, hit responding, they would be accepted to the call as a firefighter.
- Once everything looks appropriate, select Create.
